Website Privacy Policy

When you use the forms on this website, we collect the information you choose to share with us: your name, phone number, email address, and anything you include in your message. We use this information for one purpose, to respond to your request and help you get scheduled with a therapist. We do not sell your information, and we do not share it with third parties for their own marketing.

Form submissions are transmitted and stored securely. Please do not include detailed health information in website forms; that conversation belongs in your confidential intake and sessions. By submitting a form, you consent to Solace Counseling Associates contacting you by phone, text, or email about your request.

Like most websites, we use analytics and advertising tools to understand how visitors find and use our site. These tools use cookies and may record which pages you visit. They never receive the contents of your form submissions or any health information, and no advertising tags run on our client portal. You can limit cookies through your browser settings at any time.

HIPAA Notice of Privacy Practices (Summary)

As a mental health practice, Solace Counseling Associates protects your health information under HIPAA. Once you become a client, your protected health information is used only for treatment, payment, and health care operations, and is not disclosed for other purposes without your written authorization, except in limited situations required or permitted by law, such as an immediate risk of serious harm.

You have important rights over your health information, including the right to see and receive a copy of your record, to request corrections, to request restrictions on certain uses, to receive confidential communications, and to receive a list of certain disclosures.

This is a summary. Our complete Notice of Privacy Practices is provided in your intake paperwork and is available at any of our offices, or by request at office@solacecounselingassociates.com. If you believe your privacy rights have been violated, you may file a complaint with our office or with the U.S. Department of Health and Human Services; you will never be penalized for filing a complaint.

Good Faith Estimate (No Surprises Act)

You have the right to receive a Good Faith Estimate explaining how much your mental health care will cost. Under the law, health care providers need to give patients who do not have insurance, or who are not using insurance, an estimate of the expected charges for services.

You have the right to receive a Good Faith Estimate for the total expected cost of any non-emergency services, including psychotherapy. Make sure your provider gives you a Good Faith Estimate in writing at least one business day before your service. You can also ask for one before you schedule a service.

If you receive a bill that is at least $400 more than your Good Faith Estimate, you can dispute the bill. Make sure to save a copy or picture of your Good Faith Estimate.
